Policy 204.11

Minutes

The board with the assistance of the superintendent shall keep and maintain permanent records of the board including, but not limited to, records of the minutes of board meetings, documentation received or disclosed in open session of the meetings, and other required records of the board.

It shall be the responsibility of the board secretary and acting secretary to keep and publish the minutes of board meeting.  The minutes of each board meeting shall include as a minimum the following items:  a record of the date, time, place, members present, action taken and the vote of each member, and the schedule of bills allowed shall be attached.  The minutes shall also include all required information regarding any closed sessions as stated in policy 204.06. The resignation of a Board member or any other circumstance that results in a vacancy in office shall be made a part of the minutes.

The minutes shall be prepared immediately following the meeting and shall be available on the District’s website and for inspection by the public within ten (10) working days, or prior to the next convened meeting, whichever occurs earlier, and shall be a part of the agenda for the next regular meeting at which time they shall be corrected, if necessary, and approved. The minutes shall be kept in the office of the superintendent and shall be public records and open to public inspection during normal business hours. The minutes shall also be available on the District’s website for at least six (6) months.
